# Procurement view

> Purchase orders, order dates, estimated shipping, delivery, tracking numbers and carriers — the logistics half of a schedule.

Once the client has approved a scheme, the job stops being design and
starts being logistics. The **Procurement** view is where that lives: what
has been ordered, from whom, when it ships, and where it is right now.

## The columns

| Column         | What it is                                                                                    |
| -------------- | --------------------------------------------------------------------------------------------- |
| **Status**     | Where the item is in the flow.                                                                |
| **Invoice**    | The client invoice this item was billed on.                                                   |
| **PO**         | The purchase order raised to the vendor.                                                      |
| **Order date** | The day you placed the order.                                                                 |
| **Est. ship**  | The date the vendor expects to ship. A real date, unlike the free-text lead time on Planning. |
| **Delivery**   | When it actually arrived.                                                                     |
| **Tracking #** | The carrier's tracking reference.                                                             |
| **Carrier**    | Who is moving it.                                                                             |

Two layout buttons at the top right switch between a table and a card
grid. The grid shows product images, which helps when you are checking off
a delivery against what is on the truck.

## The rhythm

    The project Overview's **Ready to order** card counts everything the
    client has approved that nobody has ordered. That is your procurement
    to-do list.

  <Step title="Raise the purchase order">
    A PO carries your studio details from **Settings → Studio** and the
    ship-to address from the project.
  </Step>

  <Step title="Record the order">
    Set the status to **Ordered**, fill in the PO number and order date,
    and put the vendor's promised date in **Est. ship**.

  <Step title="Track it">
    When the vendor ships, move to **In transit** and add the tracking
    number and carrier.

  <Step title="Receive and install">
    **Delivered** on arrival, **Installed** once it is in place.
  </Step>

  <Step title="Bill it">
    **Invoiced**, then **Paid**.

## Editing

Cells edit in place, and the **Detail** drawer's **Procurement** tab holds
the same fields with more room. Select several rows with the checkboxes to
update them together — useful when one vendor ships six items on one
consignment and they all get the same tracking number.

<Tip>
  Group by vendor before an ordering session. **Organize** lets you do it,
  and it turns a scattered schedule into one purchase order per supplier.

## What the client sees

A shared schedule shows status, so clients can answer *where is my sofa*
without emailing you. Estimated ship and delivery dates give them a date
to plan around.
