# Share a schedule with a client

> Send a live schedule link — and what to hide before you do.

A shared schedule answers the questions clients ask most: what did we
choose, what does it cost, and where is it. Sharing one is far better than
emailing a PDF that is wrong by Thursday.

## Before you share

<Warning>
  Check your visible columns first. **Vendor cost**, **markup %** and
  **profit/unit** are yours, not the client's. Hide them in **Columns**
  before you create the link.
</Warning>

A sensible client-facing column set:

| Keep                             | Hide                                                   |
| -------------------------------- | ------------------------------------------------------ |
| Product, brand, finish, material | Vendor cost |
| Quantity                         | Markup %                                               |
| Client total                     | Profit/unit                                            |
| Lead time, status | Retail price, if it differs from what you are charging |

Also worth doing:

1. **Group by room.** Clients read by room, not by category. **Organize →
   group by room**.
2. **Fill the gaps.** The project Overview's **No price set** and **No
   room assigned** cards are the fastest way to spot what will look
   unfinished.
3. **Set statuses honestly.** Status is the column clients look at
   hardest.

## Share it

**Shared** in the schedule toolbar creates the link and manages access.
Send it however you normally talk to the client. The link is live: changes
you make are there next time they open it.

## What comes back

Nothing, and that's by design. A shared schedule is read-only — the
client can look at what's specified, what it costs and where it is, but
there is no comment box and no approve button on it, so nothing from a
schedule share reaches your **Inbox**.

<Info>
  For a client to comment or approve item by item, share a **pinboard**
  instead. Approving a pin that's linked to a product updates the matching
  schedule row automatically, so the schedule stays the record even though
  the conversation happens on the board.
</Info>

## When a PDF is better

Sometimes the client wants something to print, mark up, or forward to a
contractor. Export instead.
