Start with a daily brief
Ask: “What needs my attention today, and what changed since yesterday?” The assistant can summarise today’s and overdue tasks, pending client decisions, late deliveries, unread notifications and your running timer. Detail lists are short; ask for more detail on a category when its count is larger than the examples shown. You can then ask it to add a task to Today, remove one from Today, reorder Today, update a checklist item, or complete or reopen a task. Removing a task from Today does not delete it. It can find stale tasks and propose which to remove; task deletion is not performed by that proposal.Turn a message into proposed work
Paste a client message or attach a screenshot, photo or PDF. You can drag images into AI Chat. For recorded speech, provide a transcript. Try: “Review this client message for Maple Street. Show proposed tasks, decisions and schedule changes before saving anything.” Review the matched project, owners, dates and source evidence. Resolve uncertain details, then explicitly approve the changes you want. Analysing the incoming material alone does not create tasks or change a schedule.Prepare and follow up on meetings
Ask: “Prepare an agenda for tomorrow’s Maple Street meeting.” The assistant can use the project’s open tasks, pending decisions, client comments and relevant payment reminders to suggest a short agenda. Afterwards, provide your notes and ask for a preview of the summary, decisions, action items, owners, deadlines and open questions. Approve the summary to append to the meeting notes and the tasks to create. Ask explicitly to create or reschedule a meeting, including the intended date and time.Save and find project files
Attach the file to your current chat message and ask: “Save this as Maple Street’s floor plan, labelled Ground floor — September revision.” The assistant can classify it, add a factual summary and link it to a task, vendor, schedule or meeting when requested. Later, ask: “Find the latest floor plan for Maple Street.” Search uses saved labels, filenames, summaries and keywords. Check the returned revision before working from it. Summarising a file does not automatically save the proposed metadata; approve an update if you want it retained.Track vendor pricing
Ask the assistant to create a pricing request for specific schedule rows and a vendor. It creates an Atelier tracking record. Ask it to prepare the request email, review the wording, and send it through your email service. After sending, tell the assistant to mark the request as sent. Useful follow-ups include:- “Who still owes pricing for Maple Street? Include follow-up wording.”
- “Compare these received quotes, including lead time, terms and unpriced items.”
- “Review this attached quote against the request. Show mismatches before changing anything.”
- “Save this quote attachment as evidence for the request.”
